Wedding seating plan: the solution for large guest lists

Picture the moment when 200 guests arrive at the wedding venue all at once, everyone searching for their name on a huge board, and a friendly but slightly chaotic queue starts to form. As a wedding planner in Bordeaux, it's a scene I've seen play out at plenty of weddings, and there are now far smoother alternatives to the traditional text-based seating plan. Here are two I particularly like: the digital QR-code version, and the version with a photo of each guest.

The classic seating plan is the one where every table is written out on one (or several) boards, with each guest's name spelled out in full. It has one real merit: it's simple, and everyone knows how to use it. But with a large number of guests, it quickly shows its limits. A board that stretches several metres long, guests all leaning in at once to find their name, a queue forming right at the entrance at the exact moment you'd want everyone settling in calmly to enjoy the start of the meal… And if a placement changes at the last minute, which happens more often than you'd think with 100 or 200 guests, you're either still in time to have the seating plan amended before it's made or printed, or you're stuck tracking down the guests affected by a table change to tell them in person before they walk into the room.

The principle is simple, and that's exactly what makes it an effective solution:

1. You enter each guest's first and last name
2. You indicate each person's table number
3. A QR code is generated, which you place on a nice sign at the entrance
4. Done

On the day, the experience for your guests is instant: they scan the QR code, type in their name (or that of any guest they're accompanying), and find their table number in about twenty seconds. The result: no more three-metre-long board, and no more queue outside the room.

But the biggest advantage of this solution, in my view, isn't where you'd expect it: you can change your guests' seating right up until the very last minute, without having to alter or reprint anything, the QR code stays exactly the same. With 200 guests, the odds of a last-minute change (a cancellation, an addition, a last-hour family fallout…) are fairly high, so this benefit matters more than it might seem.

Less well known but just as effective, this solution involves pairing a photo with each guest on the displayed seating plan. It's especially worthwhile when you want to take care of every last detail of the guest experience.

In practice, the photo helps your guests spot their own face on the plan more quickly, but it also puts a face to the names of their table neighbours before they've even sat down, an excellent icebreaker for tables made up of people who don't know each other yet. It's a detail that takes a little more preparation beforehand (collecting a photo of each guest), but the effect on the mood from the very start of the meal is real.

It all depends on your number of guests, the mood you're going for, and your reception venue:

• Up to 120 guests: the classic seating plan with each name listed by table remains more than enough, and has the advantage of being a lovely decorative piece.
• From 200 guests: the QR-code solution really comes into its own, smoothing out arrivals and giving you flexibility right up to the last moment.
• Between 120 and 200: both options work well.
• Guests who don't know each other: the photo version adds real value, whether on its own or combined with the QR code.
